Job Description

Our client is a well-backed, fast-growing aerospace company that defined and is the leader in space-enabled logistics and in-space manufacturing. They are building vehicles with the capability to safely and precisely return payloads from orbit to earth, facilitating quicker manufacturing and delivery in outer space, and revolutionizing the space economy. They’re seeking an organized, driven, and high-performing Executive Assistant to provide support to both their CEO and President. This person will help the executives’ days run smoothly and efficiently, ensuring that the CEO and President are able focus on top priorities. This person will be detail-oriented, hands-on, and play a central role in the company’s communication flow.

This is an in-person role in Playa Vista, CA.

Responsibilities:

- Keep everything running seamlessly by anticipating the President’s and CEO’s needs and proactively solving problems
- Own scheduling and calendars for both the CEO and the President, securing external meetings and scheduling internal meetings with keen attention to detail
- Help the executives manage and stick to their busy schedules, providing daily briefs, evening summaries, and gentle nudges as needed; adjusting plans in real time if required
- Manage both executives’ email inboxes, organizing and drawing their attention to high-priority messages as needed, aiming for inbox zero
- Draft and edit external notes, emails, and memos for both execs
- Keep track of follow-ups, action items, and priorities
- Play a lead role in logistics for meetings and events by preparing agendas, confirming meeting attendees, reserving space if needed, and coordinating with IT and operations teams
- Prepare digital briefing and background materials (biographies, talking points, logistics), conducting thorough research and proofreading presentations and documents with keen attention to detail
- Handle travel arrangements for both executives, including itineraries, booking flights, and arranging accommodations and ground transport
- Submit and track expense reports for the CEO and President
- Be available outside of standard office hours for time-sensitive or urgent needs
- Greet guests and visitors, arrange logistics, and facilitate a friendly and professional front-of-house experience

Qualifications:

- 8+ years of experience serving as a right-hand assistant to CEOs or other high-level executives
- Extremely detail-oriented with best-in-class written and verbal communication skills
- Highly organized, with the ability to remain calm under pressure, juggle competing priorities, and wear multiple hats as needed
- Technology proficient – must be adept with MS Suites, G-Suite, Slack, and Zoom; and able to learn new technology as needed
- Situational awareness and emotional intelligence – able to calmly and confidently interact with both internal team members and external clients and stakeholders
- Ability to handle confidential or sensitive information discretely
- Willingness to go the extra mile to keep things running smoothly
- Ability to work outside of standard 9-to-5 office hours, as as needed


Compensation: Targeting a base salary of $85-$100k, plus equity participation and performance-based bonuses (OTE ~120-160k)
